How to Add Page Numbers in Design Programs (InDesign, Illustrator, Canva, Word)

Numbers set up in the design file don’t always survive: a page was placed without its parent page, the number frame sits outside the export area, or the PDF was assembled from several exports that each start at 1. Adobe InDesign

Font: match the body text, one or two sizes smaller. Times suits books and theses, Helvetica suits reports and slides. Print vs digital: for print, keep the number at least 10 mm (about 0.4 in) from the trimmed edge; on screen a smaller margin is fine.
Common Problems and How to Fix Them
The numbers overlap my text or footer
The preview warns you when a number lands on something already printed, and the output checks name each page where it happens. Turn on Show margin guides, increase the margin, or move the number to another of the nine positions. On busy or coloured pages, tick White box behind the number.
I need to skip the cover page
Tick Don’t print a number on the first page, then choose whether the next page shows 1 or 2 (the cover still counts). To skip several opening pages, use Skip the first … pages in advanced settings.

Roman numerals in the front, Arabic numbers in the body
Select the preset Roman front matter, then 1, 2, 3. Under Sections, set the page where the main text starts; numbering restarts at 1 there, and each section keeps its own “of N”.
Left and right pages need different positions for double-sided printing
Pick a left or right position and tick Swap left and right on even pages, or use the preset Booklet: outside corners. Odd pages get the number on the right, even pages on the left, like a printed book.
I have 50 PDFs to number

The numbering starts at the wrong value
Set Start at to the number the first numbered page should show, for example 37 for a chapter that continues a book. The sequence under the preview lists which page gets which number before you download.

A PDF that needs a password to open can’t be numbered. Remove the password with Unlock PDF (you need to know it), number the unlocked copy, then protect it again with Protect PDF.
“This file isn’t a PDF we can read.” or “This PDF appears to be damaged.”
The first means the file is another type, such as a Word document or a file renamed to .pdf: export it to PDF from the program that made it (see the design section). The second means it couldn’t be read completely: run it through Repair PDF or export it again.
“This PDF is too big for your browser right now.”
Numbering happens in your browser, so very large files depend on your device’s memory. Close other tabs, use a computer instead of a phone, or split the PDF, number the parts with matching start numbers and merge them again.
My PDF is a scan
Scanned pages are numbered like any other, and the numbers themselves are real text. The scanned page stays a picture, though, so its own words still can’t be searched; that needs OCR, which this tool doesn’t do.
